Distribute Marketing Materials
Distribute
resources to sales teams with greater efficiency:
- Self-service "one stop shopping" for brochures and
documents
- Maintain a marketing Intranet of finished documents for internal
departments and salespeople
- Publish straight to customers via the Web
- Personalized views for salespeople and clients
- New items can be highlighted automatically
- Items can be public on the Web, or viewed based on a login
Salespeople need all of your marketing and sales materials NOW
- a need that's difficult to meet even with the most comprehensive
sales and marketing information systems. They want to know about
new brochures, advertisements and mailers; they expect easy access
to accurate product presentations and correct versions of documents;
and they increasingly demand collateral in electronic formats so
they can email them to customers or print them on desktop printers.
Traditionally, the expectations from Sales resulted in frustration
for the Marketing staff who couldn't keep up. Attempts to handle
the large volume of requests also resulted in a lot of money being
wasted printing and warehousing hard copies of materials that may
never be used, shipping binders to field offices, making CD's, and
preparing the weekly "Marketing Update."
More recently, Marketing departments have created ad-hoc intranet
sites with some (but not all) materials on them. Unfortunately these
can result in more work and time-consuming editing in HTML. Such
partial solutions only add steps to the process, increase frustration,
and jeopardize Marketing's credibility with Sales.
An online, easily-updated marketing library built on top of a unified
sales and marketing database or information system is the answer.
Salespeople benefit from a real-time, "one-stop shop"
for the materials, tools and information they need to win business,
and marketers benefit by reducing the time and money spent keeping
the field informed.
A number of other features can be set to enable better usability
and oversight of user access for tracking and reporting:
- Click-through tracking of emailed items, allowing you to know
which who has viewed the materials.
- Create personalized "web kits" of electronic collateral
for channels, departments or individuals, complete with visual
previews and click-through tracking.
- Ability to link an item to other item(s), to help your users
identify valuable items they may not be familiar with.
- Ability to easily partition materials, to control access and
ensure that only relevant information is presented to each distinct
channel.
- Personalized "new for you" list of items based on
each individual's interests and preferences, to increase the relevance
and timeliness of your library site.
Customer Example: "Marketing On Demand"
A leading database marketing company wanted to reduce
the turnaround time for distributing marketing and sales materials
to the field. The materials resided in multiple locations
throughout the company, and one Marketing person was responsible
for organizing, locating, and distributing the materials.
Marketing was increasingly bogged down with requests and Sales
was complaining that it took too long to get the information
needed for customer calls.
A RevBase library is now used to provide an intranet website
called "Marketing On Demand." This library is a
critical sales and marketing information system - it contains
hundreds of brochures, collateral, product updates, analyst
reports, and internal briefings in ready-to-use electronic
formats.
Salespeople across Europe and North America access the library
on a regular basis, turnaround time has been greatly reduced,
and Marketing has freed up time to work on new projects. The
library was built, populated with data, and rolled out to
the worldwide sales force in less than 6 weeks.

Public distribution on the Web:
Additionally, your company's Website can contain its own online
self-service library of brochures for the public. Get product information
out on the Web, and searchable by potential customers all over the
world, by publishing it in the RevBase library integrated with your
Webite. As always, content managers don't have to know any HTML.
Additional support documents can even make their own product support
library, to increase customer satisfaction and decrease time spent
on the phone.
